The Contract Management Software starts by obtaining all the relevant contract information and capturing this in a form, which can be accessed to those with appropriate permissions throughout the organization.

There are 2 steps to this procedure:

  • The exact location and the characteristics of the documents are cataloged in a central archive, and can be tracked if they are shifted. The documents can be located by simply conducting a rapid search from anywhere within the organization.
  • The information contained within these documents, and any other relevant data to each contract, will be first digitized and then sent to the central repository where it will be saved as a form and can be readily accessed anywhere in the organization. No paper documents are necessary, except for the essential documents that concern all legal matters. The Contract Management Software helps to reduce the need for paper documents and helps to save on storage space.

By merely browsing through this information, missing revenue of nearly 10-20% from uncollected royalties can be recovered.

Legal Assessment

Once an agreement has been drafted, the company’s legal department will take over to validate the terms. This is not only done to validate a particular draft but an entire library of templates, business terms and standard clauses will be set up as well. The library can be used to create a new contract or extend an existing one with minimum legal assistance and without having to incur a legal risk.

Like the database of relevant contract information and the catalog of retained documents, these legally approved templates will be stored in the central repository by the Contract Management Software where it can be immediately searched for and accessed by an authorized individual or group from anywhere within the organization.
